Frequently Asked Questions for Referring Physicians and Clinical Staff

At Rheumatology Associates, we value your trust and partnership in delivering exceptional care. Below are answers to the most commonly asked questions from referring providers regarding referrals, coordination, insurance, and follow-up.

Referral Process

How do I refer a patient to your clinic?

You can refer patients by completing our referral form and faxing it with supporting documents to 530.276.0077, or by using our secure online portal. We confirm receipt and contact the patient within 24–48 hours.

Please include:

  • Recent clinical notes and diagnosis
  • Relevant labs or imaging
  • Current medication list
  • Insurance information (front & back of card, if possible)
  • Completed referral form with ICD-10/CPT codes (if known)

Our referral coordination team contacts patients within 1–2 business days of receiving complete documentation.

Scheduling & Wait Times

What is the current wait time for rheumatology consultations?

Wait times vary based on urgency, but we typically schedule:

  • Urgent cases within 1–2 weeks
  • Routine referrals within 2–4 weeks

We do our best to accommodate your clinical timelines. Please indicate urgency on the referral form.

Once prior authorization is obtained, we aim to schedule infusions within 3–5 business days.

Coordination of Care

Will I be notified when my patient is seen?

Yes. We send a consultation summary or infusion treatment report following the patient’s visit. Ongoing care updates are provided at key intervals or by request.

Absolutely. Our physicians and nurses are available to discuss complex cases or coordinate care directly. Call our provider line at 530.276.0075.

Insurance & Authorizations

Yes. Our team obtains all required prior authorizations for medication administration and infusion services. We’ll contact your office if additional documentation is needed.

Yes. We help eligible patients apply for pharmaceutical assistance programs and foundation grants when available to lower out-of-pocket costs.

Billing Support

Can your team assist with CPT and ICD-10 coding?

Yes. We can provide CPT/ICD-10 coding guidance for infusion therapies and common rheumatologic conditions. Contact our billing team at Referrals@RheumatologyClinic.com

We bill the patient’s insurance directly. Patients are only billed for applicable deductibles or co-insurance after claims are processed.

Clinical Services

What types of infusions do you offer?

We administer a full range of biologics, iron replacement therapies, and IV medications including:

  • Remicade, Simponi Aria, Orencia, Rituxan, Actemra
  • Iron therapies (Injectafer, Venofer)
  • Osteoporosis treatments (Prolia, Reclast)

Yes. We accept infusion-only referrals and will coordinate care with you, including sending post-infusion reports and monitoring labs.
